Management of FF&E Process
Our process normally begins at the design phase. We meet with the customer to determine the requirements. The design process begins with the setting of objectives (e.g., color scheming, etc.). If necessary, Penn uses the expertise of an FF& E consultant. Review with the owner/builder is assembled on a room-by-room basis for FF&E projects and the project's use for design services.
The information is gathered into layout drawings and an associated matrix. Extensive use of Penn's literature library and past projects' archives are employed during this time frame. After review and appropval by the customer, budget pricing is prepared for all items.
Value engineering is employed to follow the budgets' guidelines. Afterwards, the bidding or procurement process is commenced. After contract award (appropriate for bidding process) submittals and documentation are reviewed and approved in accordance with construction practices to assure compliance. Following approval, the material is released for fabrication.
Progress monitoring is accomplished through Penn's computer system and web interplay. Tracking and status reports are done through Penn's computer system which tracks orders by project shipping date, actual shipping date, inventory date and location within the facility. Reports are programmed that sort this information through predefined criteria for use in the field. This information also can be posted, along with site photographs and drawings, to our database and viewed via our internet location.
Delivery and installation are supervised by one of our three field supervisors, who all have over 40 years of experience in furniture, fixtures, and equipment installation. Material is controlled through the printed reports from our computer system that tracks deliveries. For those conditions requiring temporary or off-site storage, Penn's 23,000 square foot atmospherically controlled wharehouse facility with a third party security system is the perfect solution.
Payments to vendors and subcontractors can be done in several fashions; including via approval of Penn with disbursement by the DCM or approval and disbursement by Penn with rembursement by the DCM.
